1. Booking & Contract

Your contract is with Travel Mates.
A booking is confirmed upon receipt of your deposit and a confirmation email from us.
All correspondence should be directed to Travel Mates.

2. Payments

• A 40% deposit is required to confirm your booking.

• Travel Mates covers 50% of transaction fees; the remaining 50% of bank transaction charges are borne by the client.

• The remaining balance must be paid before the trip begins.

• Payment methods: Bank Transfer, Cash (at our office), or Online Payment (additional fees may apply).

3. Cancellation Policy

• 30+ days before arrival: 10% cancellation fee.

• 20-18 days before arrival: 20% cancellation fee.

• 14-16 days before arrival: 25% cancellation fee.

• 10-8 days before arrival: 50% cancellation fee.

• 7 days or less / No-show: No refund.

• Trip cancellation after commencement: No refund for unused services (hotels, transport, meals, etc.).

4. Refund Process

Refunds, if applicable, will be processed within a minimum of 2 weeks.

5. Changes to Itinerary

Travel Mates reserves the right to alter itineraries due to weather, safety concerns, or unforeseen circumstances.
No refunds will be issued for changes beyond our control, including natural disasters, political issues, or flight cancellations.

6. Liabilities & Responsibilities

• Travel Mates acts as an agent for hotels, transport providers, and guides and is not liable for their services.

• No refunds for delays, accidents, or disruptions caused by third parties.

• Travel insurance is mandatory, covering medical emergencies, accidents, cancellations, and other risks.

• Clients are responsible for their personal belongings, health, and travel documents (passport/visa).

7. Health & Fitness

Participants must be in good health and disclose any medical conditions prior to booking.
No refunds will be provided if a participant falls ill or leaves the trip early.

8. Passport & Visa

International travelers must possess a valid passport and, if required, a visa.
Travel Mates does not provide visa processing services.

9. Travel Insurance

All clients must have travel insurance covering medical emergencies, evacuation, trip cancellations, and lost belongings.

10. Photos & Promotions

Travel Mates may use photos or videos from the trip for promotional purposes unless otherwise specified by the client.

11. Force Majeure

Travel Mates is not liable for disruptions caused by natural disasters, wars, strikes, or government restrictions.

12. Important Notes

• Satellite phones and GPS devices may be restricted in certain areas due to border security regulations.

• No refunds for incomplete trips due to personal reasons or early departures.
